Document Management Software:
CSG’s entry level software is ScanFile. The ScanFile software was introduced
into the UK in the early 1990s and it’s continual development
it have become a comprehensive but ‘easy to use’ document
management system. ScanFile allows documents to be identified by
upto 10 index fields, although much of this can be automated. Scanfile
is a solid entry level software catering for all of the entry level
requirements whilst providing some features and functionality only
usually found in more advanced systems, allowing ScanFile to grow
with your company.
FileDirector
software is also supplied and supported by CSG. FileDirector caters
for every requirement. A more comprehensive
description of FileDirector and it’s modules can be found
on this website, however below we have summarised FileDirectors
core functionality and modules:
FileDirector :
• Document Scanning: the FileDirector
system supports the entire range of Canon document scanners with
it’s in-built drivers, although all other manufacturer’s
scanners can be used via the standard TWAIN drivers or the optional
ISIS module. FileDirector allows ‘Scan Profiles’ to
be setup, predefining scanner options and configuration to allow
end users to easily store documents of optimum quality within the
system.
• Codeless Connector: the FileDirector
system can be easily integrated with 3rd party softwares, either
by a VB or C++ code writer using the in-built SDK (software development
kit) or by using the Codeless Connector. The Codeless Connector
allows integration without the need to write any code. This module
allows you to perform searches, update index data or scan documents
directly from your 3rd party software, saving end users from having
multiple windows open on their desktop.
• Barcode indexing: barcode indexing is a very effective method
of indexing documents in your system. It allows
for documents to contain barcoded index information when generated
so that when they are returned they can be scanned into your Document
Management system and the index information will be applied to the
index fields within the software automatically.
• ODBC Links. The use of ODBC links allows you to link FileDirector’s
indices to external databases on your system, allowing you to automatically
update index fields with external data, negating the requirement
for manual indexing and ensuring greater accuracy of the index information.
• COLD. Also a very effective method of indexing files within
your system. The COLD module allows for files
to be saved automatically within your system
at the point they are submitted to the printer. This means that
with no user intervention the system will contain
the images and the data relating to each and every file. There is
a one-off setup within the software to ensure
that every time an invoice run (example document type) is performed
they are contained within the Document Management system.
• Forms Recognition. Forms recognition allows selective indexing
of data based on the type of document identified. FileDirector selectively
indexes the document based on identifiers pre-defined by the administrator.
• OCR. FileDirector’s OCR (optical character recognition)
allows documents and information to be found using full text searches.
• Imageprinter. Allows for electronic files to be saved within
the software.
• Email indexing. This function provides automated indexing
of selected emails within the system.
• Microsoft Office integration with the FileDirector
system. Once Filedirector is installed each client has a button
so that the document created in the office application can be sent
directly to FileDirector, this is a feature used
in other solutions such as the Scanfile system.
• Document import. Automatic server based document imports
can be scheduled from pre-defined network locations to your software, and manual imports can be performed by the Client
using Scan Profiles set to Directory Scan. Filedirector can make these scheduled operations
• Virtual Network Printing. Using VNP, all print output can
be converted to either single or multi-page TIFF files, and then
imported to the FileDirector. This is particularly useful
for spool data, reports etc.

the capture and distribution of information from documents, forms
and invoices, and delivers reliable, retrievable information into
your document management system or other application.
• Kofax VRS. VRS (VirtualReScan) automates cleaning, cropping,
deskewing and contrast selection of scanned documents. VRS dramatically
reduces the time required to prepare and rescan documents by ensuring
that the first scan produces the optimum results.

FileDirector
SBE has the most flexible and comprehensive document
capture features available. Paper and electronic documents,
whatever their format or source, are easily captured
to FileDirector, and you can even add your own capture
facilities to third-party applications.
FileDirector
has scanning capabilities included within the standard
Client software, so there is no need to run one application
for capturing and another for retrieving documents
Storing
information from desktop applications is a simple process
with FileDirectors integration with Microsoft Office
applications and with Windows Explorer. Just choose
to send the document to FileDirector, and you can then
index the document, or have FileDirector take information,
such as the file name and date automatically. When saving
emails from Outlook, these can be indexed automatically,
using email data such as ‘To, ‘From, Subject
and even the email body.
The
FileDirector ImagePrinter is a Windows printer driver
that allows you to 'print' from Windows applications
directly to FileDirector. The information will be converted
to either TIFF or JPG image formats, depending upon
their content.
